Introduction

MeetingsAI ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services (collectively, the "Service").

By using our Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our Service.

Information We Collect

Personal Information

We may collect personal information that you voluntarily provide when using our Service, including:

  • Email address (for account creation and communication, including when you sign in with Apple or Google)
  • Name (optional, for personalization)
  • Subscription status (purchases are processed by Apple's App Store or Google Play together with our subscription provider; we never receive your card or bank details)
  • Account preferences and settings

You can use the core features of MeetingsAI without creating an account.

Audio, Transcripts, and Meeting Content

MeetingsAI processes audio to provide transcription, summaries, and related features. How this content is handled depends on the mode you choose:

  • Standard Mode: Audio is sent through our secure proxy to the AI providers listed below for transcription and is processed to deliver the feature you requested. Transcripts, summaries, to-dos, folders, and related meeting data are stored on our servers to provide cloud sync across your devices. If you use AI Chat, your transcripts are also indexed with our AI provider so the assistant can answer questions about your meetings. If you create a shareable meeting webpage, the content you choose to share (which can include audio) is uploaded so the page can be viewed by people you share the link with.
  • Private Mode:Processing happens entirely on your device. Speech recognition and AI summaries run locally using on-device models, and no audio or transcription content leaves your device. See "Private Mode and On-Device Processing" below.

If you set up a personal AI profile, we store profile information and derived embeddings on our servers so the AI can tailor summaries for you.

Usage Data and Diagnostics

We automatically collect certain information when you use our Service to understand product usage, fix problems, and measure our marketing:

  • Product analytics: We use Mixpanel to collect usage events (for example, which features are used), device type, operating system, app version, and subscription plan. If you have an account, this data is associated with your account.
  • Session replay: To diagnose usability problems, a sample of app sessions is visually recorded. On-screen text and images are automatically masked in these recordings, so the contents of your meetings, transcripts, and notes are not captured.
  • Crash reporting: We use Sentry to collect crash reports and performance diagnostics.
  • Install attribution: We use a mobile attribution service to understand which marketing channel an app install came from.

Usage data and diagnostics never include the audio or the text content of your meetings.

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide and maintain our Service
  • To process transcriptions and generate meeting summaries
  • To sync your data across devices (when enabled)
  • To process payments and manage subscriptions
  • To send you important updates about the Service
  • To respond to your inquiries and provide support
  • To improve and optimize our Service
  • To detect and prevent fraud or abuse

No AI Training on Your Content

We do not use your audio, transcripts, or meeting content to train AI models. Our AI providers process your content solely to deliver the feature you requested. In Private Mode, your content never reaches a server at all.

Third-Party Services

In Standard Mode, requests to AI providers are routed through our secure server-side proxy. The app itself holds no provider API keys. Depending on the features you use, the following services process your data:

  • OpenAI: Transcription, AI summaries, AI Chat over your meetings, and text-to-speech
  • AssemblyAI: Real-time transcription and speaker identification
  • DeepL: Translations
  • LlamaCloud: Document parsing when you transcribe or convert files
  • Tavily: Web search when you use Cheat Mode (only the search query derived from the conversation is sent)
  • Supabase: Authentication, database, and file storage for cloud sync and shared meeting pages
  • RevenueCat: Subscription management
  • Mixpanel: Product analytics and session replay (with text and images masked)
  • Sentry: Crash reporting
  • Apple and Google: Sign-in, and on-device speech recognition in Private Mode

Each of these services has its own privacy policy governing how it handles data. When you enable Private Mode, your meeting content is not sent to any of the AI services above.

Private Mode and On-Device Processing

MeetingsAI offers a Private Mode that processes your meetings entirely on your device. When Private Mode is enabled:

  • No audio recordings leave your device
  • Transcription is performed locally using on-device speech recognition
  • Summaries and AI answers are generated locally using on-device AI models (Apple Intelligence on supported iPhones, and a local AI model on supported Android devices)
  • Meeting content is stored encrypted on your device
  • It works without an internet connection

Private Mode requires a device that supports on-device speech recognition and local AI models. Private Mode governs your meeting content; app usage analytics and crash reporting described above are collected separately and do not contain meeting content.

Data Storage and Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit and at rest
  • A server-side proxy for all AI requests, so no provider API keys are present in the app
  • Secure authentication mechanisms
  • Regular security reviews and updates
  • Limited access to personal data

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Data Retention

Your meetings, transcripts, and summaries are retained until you delete them; we do not auto-expire your content. Specifically:

  • Deleting a meeting in the app removes it from your device and from cloud sync
  • Deleting your account removes your cloud-synced content, profile data, and any AI Chat indexes of your transcripts. We delete or anonymize this data within 30 days, except where we are required to retain it by law
  • In Private Mode, content exists only on your device and is removed when you delete it or uninstall the app
  • Crash reports and analytics events are retained according to the retention schedules of the providers listed above

Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate personal data
  • Deletion: Request deletion of your personal data
  • Portability: Request a copy of your data in a portable format
  • Objection: Object to certain processing of your data
  • Restriction: Request restriction of processing in certain circumstances

Children's Privacy

Our Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete such information.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes. Continued use of the Service after changes constitutes acceptance of the updated policy.
